Admissions Specialist
Encore Outpatient Services is looking for an Admissions Specialist to join our amazing and dedicated team. Encore is conveniently located in Arlington, Virginia, in the Ballston metropolitan area, serving the Greater Washington, D.C. area and Northern Virginia. Position will be full time, Monday - Friday, business hours, in person at our Arlington, VA office. Starting pay for the position is $24-26/hr.
DUTIES AND RESPONSIBILITIES:
- The Admissions Specialist will complete Admission assessments to determine appropriateness for Encore’s level of care with each and every caller with an attempt to convert to scheduled admissions.
- Identifies patients who need clinical screening prior to admission and gather Encore Admission Screening Team) information for review with the designated Admissions Team.
- The Admissions Specialist will provide a sophisticated level of financial conversation to include vetting all appropriate resources for treatment investment, provide details of inclusions and exclusions of treatment investment, utilization of all financial options. Possesses and utilizes a sophisticated level of insurance knowledge including out of network insurance, single case agreements, and in-network or contracted insurance.
- Identifies all key stakeholders, i.e., referrals, donors, alumni, and treatment providers for each admission, and manage pre-admission relationship with referral sources. Point person for high priority referrals/ key stakeholders. Act as Liaison between Admissions, Medical and Clinical teams. Assist Regional Resource Director (RRD) team with maintaining referral relationships.
- Welcomes patients and families, utilizing customer service skills learned through internal and external trainings. Complete facility tours for potential admissions and referrals. Meet with patients and their families and ensure admission is completed by following checklists for accuracy while displaying empathy, dignity and respect to the patient and their families.
- Upon meeting with patients, the Admissions Specialist will ensure that accurate documentation is completed including HIPAA, financial and billing documents, referral documentation, etc.
- Responsible for case management of all assigned cases from initial contact to admission while providing superior service and follow-up. Communicate effectively with patients, family members, referents, and co-workers.
- May be responsible for covering the receptionist desk and duties as assigned
- Able to resolve a patient/family/caller complaint in the absence of a supervisor.
- Able to manage an individual workload in conjunction with additional duties.

- The Admissions Specialist must have the ability to communicate verbally and in written form for 95% of the workday.
- Ability to sit for 90% of the workday.
- Ability to type 85% of the workday.
- Ability to walk the grounds to facilitate tours. This may include ascending and descending stairs.
- Ability to travel to facility in inclement weather
- Ability to give presentations to small and large groups, which may require standing for long periods of time.
- Ability to travel.
EDUCATION / EXPERIENCE QUALIFICATIONS:
- High School diploma or equivalent, bachelor’s degree preferred, preferably in psychology or human services.
- The Admissions Specialist must have 2 years of consultative sales experience or customer service experience.
- Proficient use of Microsoft Outlook, Word, Excel, Docusign, Salesforce, and EMR software.
- If in recovery, 2 years of continuous sobriety is preferred.
KNOWLEDGE, SKILLS, AND ABILITIES:
- Able to type 45 words per minute with 95% accuracy.
- Demonstrated knowledge of all computer software systems and ability to use proficiently
- Must be customer service and detail oriented.
- The Admissions Specialist must have the ability to function independently.
- Able to consistently maintain confidentiality and professionalism
- Must possess strong written and oral communication skills
- Able to prioritize and multitask with excellent customer service
