As the administrative coordinator, you will support the management of the President’s calendar and the daily execution of the President’s schedule, which includes preparing all needs for meetings, greeting guests and offering refreshments, running errands, and maintaining office supplies. You are responsible for arranging maintenance of office copiers/printers, coordinating with outside florist to maintain Lai Wa Hall, procuring invoices for payments in a timely manner, and making corporate and personal purchases for the President responsibly by submitting receipts and expense reports in a timely fashion.

You will be expected to take notes and communicate the President’s direction to the appropriate people; share detailed information regarding events, activities, and gifts/deliveries received with writers for follow-up correspondence; assist in the preparation of travel itineraries, travel changes, and needs; and update calendars and itineraries to reflect the actual events, meetings, and phone calls of the day or trip. Additionally, you will assist with executing Presidential initiatives.

The ideal candidate must be able to answer all correspondences and requests in a timely manner and should be able to quickly understand and follow instructions while clearly transmitting information clearly to the relevant individuals. They must demonstrate excellent communication skills, an accuracy and attention to detail, and must take initiative. The ideal candidate should be a problem solver and consistently maintain a positive demeanor while acting with the utmost discretion and employing a high level of tact and confidentiality. The administrative coordinator must anticipate needs and proactively prepare and execute their work.

Minimum Qualifications:  

  • Bachelor’s degree
  • Must be highly organized, professional, diplomatic, and understand the importance of confidentiality
  • Must demonstrate excellent organizational, interpersonal, administrative, and leadership skills and understand the importance of hospitality
  • Must have knowledge of technology and relevant software programs (Excel, Word, etc.)
  • Must have skills in problem-solving and collaboration, self-awareness and self-motivation, exceptional time management, and ability to work independently at a high level

Preferred Qualifications: 

  • Experience working in a fast-paced, complex administrative environment

Certificates, licenses, and registrations:

  • Valid driver’s license

Travel required:

  • Less than 10%

Work Hours: The university work week is Sunday through Saturday. Most offices are open Monday through Friday from 8:30 a.m. to 5:30 p.m. To accommodate business needs, employees may be assigned to other workdays and/or hours, including weekends and evenings.
