Position Summary:

The Assistant Director of Admissions is an entry level management track position.  Primary responsibilities are recruiting and serving prospective students for the Illinois College of Osteopathic Medicine (IllinoisCOM).  In addition, individuals will incorporate team leadership responsibilities into their daily activities.  The ideal candidate will be an articulate, organized, dynamic and enthusiastic team player with prior experience working within medical education.  Excellent organizational and management skills are necessary.  

Principal Duties:

  • Assist Direct Supervisor with, but not limited to, supporting, and training staff through assessing performance.
  • Responsible for engaging in and mentoring others in best practices to contribute to the team’s overall success.
  • Clearly articulates the mission and value of the university to prospective students.
  • Provides superior customer service to students through the entire admission process.
  • Consistently achieves behavioral and performance expectations as outlined in the annual performance review.
  • Responds to all new inquiries quickly and maintains consistent communication with all students throughout the admission process.
  • Conducts telephone-based, virtual, and in person consultations to qualify prospective students on their educational goals and interests, to explain available academic programs, to advise them on admission requirements, and to ensure that all admission paperwork is completed properly.
  • Fulfills management responsibilities as assigned based on department and team needs, including but not limited to:
    • Mentoring others
    • Training
    • Inquiry management/distribution
    • Floor management
    • Reporting responsibilities
    • Auditing
    • Call monitoring and feedback
  • Manage and produce weekly reports to drive improved performance.
  • Review and evaluate admission applications before sent to department faculty for review.
    • Facilitate recruitment management efforts.
    • Oversee product knowledge training of new staff as well as facilitate continual training for the Admissions department. 
    • Monitor and manage conversion rates for mentees and provide strategic plans for improvement.
    • Assist in developing, implementing, and monitoring the admissions recruitment strategy.
    • Manage daily operations as directed by supervisor.     
    • Review and modify all outgoing written communications for relevance and accuracy.
    • Contribute ideas and strategies that will aid in meeting and exceeding enrollment goals and fulfilling institution mission.
    • Build and maintain productive relationships with admissions team members.
  • Perform other duties as assigned.

Essential Knowledge, Skills, and Abilities:

  • Excellent communication skills (writing, public speaking, interpersonal and public relations skills).
  • Demonstrated experience in the training and development of Admissions Representatives.
  • Ability to self-initiate and execute with minimal supervision.
    • Support and facilitate training of new staff along with training for all team members.
  • Computer skills including word processing, database management and Power Point (experience with CampusVue and Salesforce is a plus.)
  • Ability to use software applications including databases to track information and produce reports.
  • Ability to represent The Chicago School in a professional manner.
  • Must be knowledgeable of trends in higher education and principles of enrollment management.

Position Qualifications:

  • Bachelor’s degree required.
  • Three years of admission experience required.
  • The ability to travel and work evenings and weekends is required.

Preferred Qualifications:

  • Master’s degree
  • Prior experience working in admissions for a medical school.
