Alumni Affairs and Development (AA&D) 
Alumni Affairs and Development is a dedicated team supporting Harvard’s advancement activity through front-line fundraising, alumni and volunteer engagement, technology, prospect management and research, business process, events, communications, and many other areas.

AA&D is comprised of the University Development Office (UDO), Faculty of Arts and Sciences (FAS) Development, AA&D Resources, the Harvard Alumni Association (HAA), and the Office of the Vice President (OVP).

The Associate Director, UDO Prospect Management will create and implement a strategic prospect management program by providing data-driven insights, managing portfolios, and optimizing the pipeline to maximize the University Development Office’s fundraising efforts.

Position Description

  • Evaluate current processes; develop, implement, and maintain updated and expanded Prospect Management policies and procedures.
  • Work closely with the Managing Director of Prospect Management to pioneer a comprehensive prospect management system for the UDO; includes providing prospect management guidance and structure, creating data standardization and integrity best practices, ensuring a system for monitoring prospect and portfolio movement, evaluating and analyzing donor pipelines and stages.
  • Create and manage strategic portfolio optimization and prospect management plan integrated into UDO’s fundraising priorities.
  • Collaborate with Operations and BI to define and continuously improve processes, procedures and reporting.
  • Train staff and colleagues on new procedures and provide periodic refresher training and onboarding support.
  • Manage the assignment review process, which includes leads generated and categorizing prospects according to the prospect classification system.
  • Analyze prospect population to assist and inform UDO Senior Management Team decisions regarding frontline coverage.
  • Provide strategic insight into prospect pipeline and portfolio management, including the portfolio review process and prospect strategy development.
  • Identify as the business owner of the development and creation of Qlik reports for prospect management and analytics. Work closely with the BI team to execute the development of these applications. 
  • Apply expertise in Microsoft Excel functions (and/or other tools) to facilitate data analysis, segmentation and visualization. Synthesize findings and share results through reports, maps, charts, graphs and presentations as needed. 
  • May manage one or more individuals.
  • Perform additional duties as assigned. 

Basic Qualifications

  • Bachelor’s degree required.
  • A minimum of 6 years of experience with prospect research, fundraising, data analysis, or other similar field.
  • Must have direct prospect management experience specific to the creation and calibration of portfolios and the management of lead generation, and the requisite knowledge of wealth analysis required for strategic implementation.

Additional Qualifications and Skills

 
  • Expertise with Word, Excel (especially formulas, complex functions and shortcuts), PowerPoint (particularly as it relates to data visualization and presentations), and relational database software programs.  Experience with Advance or other fundraising CRM databases required.  
  • Foster partnership with UDO fundraising teams and leadership in order to understand and meet emerging business needs.
  • Ability to work effectively with systems partners including BI and Data Analytics to understand, help conceptualize and deploy database resources to maximize the usefulness of data and data insights.
  • Must be comfortable analyzing complex data to answer business questions and able to articulate findings through visually accessible presentations.    
  • Strong written and verbal communication skills with experience to back up recommendations and strategies undertaken.   
  • Ability to come to sound conclusions independently, showcasing a rational, logical, and efficient thought process. 
  • Ability to use extreme discretion when working with highly confidential information required.  
  • Proficiency at planning, organizing, and setting meaningful objectives, integrating the work of prospect management into overall advancement goals.

Work Format Details

This is a hybrid position that is based in Massachusetts. Additional details will be discussed during the interview process. All remote work must be performed within one of the Harvard Registered Payroll States, which currently includes Massachusetts, Connecticut, Maine, New Hampshire, Rhode Island, Vermont, Georgia, Illinois, Maryland, New Jersey, New York, Virginia, Washington, and California (CA for exempt positions only). Certain visa types and funding sources may limit work location. Individuals must meet work location sponsorship requirements prior to employment.

This position is hybrid, but the exact schedule may be subject to change due to any operational adjustments in the department.
