Title: Financial Aid Coordinator

Job Summary

Assist the Director with the administration of federal, state and institutional financial aid programs. Responsible for day-to-day office management. Technical lead for systems operations. Primary liaison with Office of Information Technology.

Job Duties

  • Provide leadership and act as supervisor in absence of director. - (Essential)
  • Participate in ongoing study, training and professional development activities to stay abreast of changing federal and state regulations to ensure compliance. - (Essential)
  • Assist with the development and maintenance of office and program policies and procedures. - (Essential)
  • Assist with the office business continuity plan and the college's SEM Plan. - (Essential)
  • Assist with the adoption and implementation of Best Practice Models. - (Essential)
  • Complete Banner System testing of updates, releases and setup. - (Essential)
  • Provide training and regulatory guidance for staff members. - (Essential)
  • Supervise internal office processes, procedures and practices. - (Essential)
  • Manage communications plan and letter generation processes. - (Essential)
  • Review and update webpage using web tailor as needed. - (Essential)
  • Maintain an office calendar of important dates, deadlines, reports, activities, etc. - (Essential)
  • Coordinate office extended hours and outreach events as needed. - (Marginal)
  • Provide technical planning and support for the continued development of automated processing. - (Essential)
  • Develop computer processes and workflows. Identify process issues/workflow problems and create resolutions. - (Essential)
  • Provide technical support to the Financial Aid office staff (SQL, Argos reports, workflow, Automic, EDE). - (Essential)
  • Work with the Office of Information Technology to develop and maintain Banner processes and Argos reports. - (Essential)
  • Oversee and train staff in the use of Banner Document Management System used to scan and index documents. - (Essential)
  • Assist in preparation of federal and state reports, including Gainful Employment, Net Price Calculator and IPEDS. - (Essential)
  • Update Financial Aid Consumer Handbook. Develop and distribute financial aid consumer information materials. - (Essential)
  • Oversee Transfer Monitoring, document tracking, verification, awarding, over-awarding and SAP processes. - (Essential)
  • Coordinate services with the U.S. Department of Education, Tennessee Student Assistance Corporation, Default Management Services, Selective Service Administration, and U.S. Citizen Immigration Service. - (Essential)
  • Coordinate requests for professional judgments for special or unusual circumstances. - (Essential)
  • Oversee Return to Title IV processes and notifying students of their federal overpayments or institutional liabilities. Report federal overpayment to the Department of Education. Counsel students regarding overpayments. - (Essential)
  • Refer Federal Overpayments to the U.S. Department of Education on a regular basis - (Essential)
  • Perform file audits to ensure compliance, separation of duties and accuracy. - (Essential)
  • Assist with year-end fund reconciliation and federal reporting, including annual Federal FISAP/FISOP report. - (Essential)
  • Be aware of TBR and federal record retention standards. Oversee the Banner Purge and Archive processes. - (Essential)
  • Assist with evening and off-campus workshops and presentations. - (Marginal)
  • Monitor office traffic, incoming phone calls, classified lunch schedules. - (Marginal)

Minimum Qualifications

Bachelor’s degree
Previous financial aid experience

Preferred Qualifications

Master’s Degree in a related field
Previous supervisory experience
Proficiency with student records and database management such as Banner or another integrated software

Knowledge, Skills, and Abilities

Strong interpersonal and public relations communication skills; ability to effectively communicate using written and verbal skills.

Computer Skills
Proficiency with Microsoft Office applications. Banner database, EDE, eprint, FAST, ARGOS, Automic, SQL and report writing experience or knowledge is a plus.

Mathematical Skills
Ability to perform basic math functions such as addition, subtraction, multiplication, and division; ability to perform calculations related to financial aid information as needed.

Reasoning Ability
Reasoning ability required in decision making, advising and assisting students, applying relevant policies, procedures, guidelines, and regulations and performing various tasks.

Other qualifications
Office administration, public relations, customer service, personnel and time management, organizational, and scheduling skills required. Must be able to exercise ethics and maintain confidentiality.

Pay Rate: $47,031- $58,788 Annual salary depending on eligible experience which is defined by the current compensation plan.
