The Senior Associate Director, Technology and Data Management, is responsible for the Harvard Innovation Labs’ (HIL) technology and data solutions. The role assesses current and anticipates future technology needs in order to support student and alumni innovators and improve HIL processes. The Senior Associate Director is the subject matter expert and administrative owner of existing technologies and related systems, including but not limited to applications, database systems, integrations between platforms, hardware, and software. This role also serves as the primary partner with HBS IT and Harvard University IT (HUIT) for alignment, shared solutions, and shared services. The Senior Associate Director reports to the Senior Director of Administration and partners closely with them to research and develop strategic initiatives that will prepare HIL to be ready for future needs and continued digital transformation.
Information Technology System Management
- Oversees the technology behind all enterprise systems including, but not limited to, customer relationship management, content management system data feeds and access management, program application software, data reporting and related dashboards, email marketing system data feeds and integrations, customer support systems, and other platforms utilized to achieve HIL's mission. Works in partnership across the technology team to distribute responsibility accordingly.
- Manages RFP processes and ongoing relationships with vendors, providers, and consultants to help build out technology solutions. Serves as HIL’s technical expert on vendor-based technology solutions. Oversees the relationships with external technology vendors for HIL projects and collaborates with HUIT and HBS IT to ensure compliance and integration with School policies, contracts, and support.
- Manages relationships across the university to ensure technical understanding of university-wide systems, such as HarvardKey SSO and data feeds, to ensure proper integrations with HIL systems.
- Through strong leadership and close communication and planning across our student and alumni programs, advising, communication/marketing, and operations teams, the Senior Associate Director identifies, proposes, and implements new technology, enhancements, and transformations to create a data-driven model with exceptional user experiences across platforms, as well as one that best serves our stakeholder groups including staff, students, alumni, and expert volunteers.
- Develops and manages annual technology roadmap and budget that contributes to the organization’s overall strategic plan and to the achievement of both short- and long-term performance metrics.

Other Required Qualifications:
- BA/BS required.
- 7+ years of work experience in technology management, portfolio management in higher education, IT analysis role, technology industry focused startup, or educational technology.
- MS/MBA in relevant field preferred.
- Experience managing a team of direct reports.
- Familiarity with Agile Methodologies (SCRUM/Kanban), Certification a plus.
- Strong understanding of digital accessibility standards • Strong project management and change management competencies, including leading projects requiring collaboration across teams of diverse stakeholders.
- General understanding of cloud based SAAS models.
- Strong communication, writing, and presentation skills
- Strong understanding of and passion for the latest technologies and technology trends.
- Proven ability to deliver results with minimal oversight.
- Experience with Salesforce CRM.
- Experience with and understanding of instructional design elements in the higher education space.
- Willingness to abide by and follow the Harvard University IT technical standards, policies and Code of Conduct.
IT Leadership and Team Management
- Builds strong relationships with internal stakeholders, ensuring clear communication and understanding of project goals and outcomes. Works closely with the communication/marketing team as a key partner for website management, email marketing, event management, etc. Works closely with the programs team to identify and implement solutions to improve the students, alumni, and expert's experiences. Works closely with the operations team to consult on hardware and software needs for the Maker, Media, and AR/VR studios, as well as systems and software to support the facility.
- Maintains and leverages valued partnerships with the HBS IT Business Relationship Manager, and various key roles across HUIT.
- Manages 3 direct reports: Technology Operations Coordinator, Business Analyst/Project Manager, and Salesforce Administrator.
- Prioritizes and scopes projects (in partnership with the technology team), assembles project partners, communicates status, and push actionable items to completion. Ensures that each project has assigned roles and responsibilities, a project plan, regular updates and communication schedules, and has gone through user testing and training.
- Responsible for systems and processes for quarterly, monthly, and weekly planning (communications and meeting schedules) for both team and stakeholder planning. Works across teams to constantly manage portfolio backlog and gather information for requirements and prioritization.
- Ensures that all HIL data, consisting of student and alumni venture information, leads, volunteer interest, event attendance, member engagement and communication, awards, program enrollment, and account updates, is collected, stored, and utilized effectively in the Salesforce CRM, through system integrations, procedures, and regular schedules; maintains the appropriate data architecture and plans for future needs.
- Oversees current and upcoming data integrations with CMS (Craft), email marketing software (MailChimp), internal HIL applications (SurveyMonkey Apply), and external sources.
- Oversees and enhances HIL’s constituent relationship management (Salesforce) strategy, including the continued expansion and customization of Salesforce.com and required integrations across all HIL systems.
- Responsible for other duties as assigned.
Additional Information
This is a hybrid position which we consider to be a combination of remote and onsite work at our Boston, MA based campus. HBS expects all staff to be onsite a minimum of 3 days per week and departments provide onsite coverage Monday – Friday. Specific hours and days onsite will be determined by business needs and are subject to change with appropriate advanced notice.
